A great trip is remembered for years, but it is paid for in the weeks before you leave. This travel budget calculator from Smekys turns a loose "about two grand" hunch into a concrete day-by-day number — lodging, food, local transport, and activities added up across your whole trip, then split across everyone traveling with you.

The most common mistake travelers make is budgeting only the flight and the hotel. By the time you add meals, taxis, entry tickets, and that one unforgettable tour, the real cost is often twice what you first estimated. Enter your trip length, how many people are going, and a realistic average for each daily expense, and the result card shows both the total trip cost and the cost per person — so you can decide whether your destination fits your savings before you book anything.

How to Use

  1. Set your Trip Length in days. A 7-day trip usually means 6 hotel nights, because you sleep at home (or on your flight) on the day you return.
  2. Enter the number of Travelers. The calculator multiplies the per-person daily costs by this figure and shows a final cost-per-person line.
  3. Type your Lodging average per night. Check a few hotels on your target dates rather than the cheapest listed rate — weekend and event dates run higher.
  4. Set Food & Drinks per person, per day. A casual sit-down dinner plus breakfast and coffee easily reaches $80–$120 in a major city.
  5. Add Local Transport per day — taxis, metro passes, tolls, or the daily share of a rental car. Leave it at zero if you will walk everywhere.
  6. Fill in Activities & Excursions as one total for the whole trip: museum tickets, a walking tour, a sunset cruise, or show tickets.

The result card breaks the cost into lodging, food, transport, and activities, then sums them into the Estimated Total Trip Cost and the Cost Per Person. Slide any figure up and down to stress-test your budget against cheaper or more splurge options.

The Formula Behind the Numbers

Travel budgeting is straightforward addition once you separate per-day costs from one-time costs:

Total = ( Lodging × (days − 1) + Food × days + Transport × days + Activities ) × Travelers

The days − 1 for lodging is the key detail. If you leave on Monday and come home on Sunday, you book six nights, not seven. Food and transport, by contrast, run for every day you are away — including the travel days. Activities and excursions are a single trip total rather than a daily rate.

Worked example: a 7-day trip for one person at $250 lodging per night, $100 food per day, $50 transport per day, and $400 of activities. Lodging is $250 × 6 = $1,500; food is $100 × 7 = $700; transport is $50 × 7 = $350; activities are $400. Add them up: $1,500 + $700 + $350 + $400 = $2,950. That is the realistic all-in price of the week, not just the hotel bill.

What to Budget for Each Category

  • Lodging is usually the largest line item. Hotels in city centers cost more; vacation rentals are cheaper for groups but add cleaning fees. Price the exact dates you will travel.
  • Food & Drinks varies wildly by destination. Street-food cities run $25–$40 a day; expensive coastal cities can demand $100+ per person.
  • Local Transport is the most under-budgeted category. A few rideshares a day in a big city quietly add $40–$60 before you notice.
  • Activities should be planned, not improvised. Reserve the one or two experiences you cannot miss and set a per-trip total rather than paying for whatever sounds fun in the moment.

Examples

Example 1 — A 7-day city break for one. Seven days, one traveler, $250/night lodging, $100/day food, $50/day local transport, and $400 in activities. Lodging is charged for six nights, so the estimated total is $2,950, or $2,950 per person. This is the baseline Smekys recommends before you buy flights.

Example 2 — A couple on a budget road trip. Five days, two travelers, $120/night lodging, $60/day food, no local transport (they drive their own car), and no paid activities. Lodging is $120 × 4 nights = $480; food is $60 × 5 = $300; per-person subtotal is $780, and doubled for two people the total trip cost is $1,560, or $780 each.

Example 3 — A luxury private excursion. Ten days, one traveler, $2,000/night lodging, $500/day food, $300/day transport, and a $1,200,000 once-in-a-lifetime private voyage booked as the activities line. Lodging is $2,000 × 9 = $18,000; food and transport add another $8,000; with the large activities item the total reaches $1,226,000. The engine handles very large figures the same way it handles small ones.

FAQ

How do I calculate a travel budget?

Add your per-day expenses across the whole trip. Multiply lodging by the number of nights (your trip days minus one), food and local transport by the number of days, then add any planned activities. Multiply the per-person subtotal by the number of travelers. This calculator does all of that for you the moment you enter your figures.

How much money do I need for a 7-day trip?

A typical budget for one person is roughly $2,500–$3,500 for a week in a mid-range destination: about $1,500 for six nights of lodging, $700 for food, $350 for transport, and $400 for activities — an all-in total near $2,950. Budget cities cost less; expensive cities or resort trips can easily run $5,000+.

Should I count lodging per day or per night?

Per night. A trip that lasts seven days usually requires six hotel nights because you sleep at home or on your flight on the day you return. Counting seven nights would overstate your lodging by a full day's rate.

How much should I budget for food per day while traveling?

Plan $40–$60 per person per day in budget destinations and $80–$120 in major cities. Add coffee, snacks, and one nicer dinner out; most travelers spend 30–50% more on food than they expect, so rounding your estimate up is wise.

How do I split travel costs between friends?

Enter the number of travelers and read the Cost Per Person line. Shared expenses like lodging, rental cars, and group tours divide evenly; personal extras like souvenirs or a solo dinner do not. The calculator assumes shared costs only, so track individual splurges separately.

Does this include flights and hotel booking fees?

No. This calculator estimates your on-the-ground daily costs. Flights, rail tickets, travel insurance, resort fees, and airport transfers should be added on top as a separate fixed cost once you price them.
